This purpose of this section is to provide you with the resources you need to prepare for your study abroad program. We have outlined the tasks you need to complete:

Course Reading Packet

Please email AUIP ( your approval (or suggested revisions) of the Course Reading Packet (comprised of the quiz, modules, and readings). If AUIP does not receive your approval (and/or your revisions) by the requested time frame we will assume that all material on file with AUIP is correct and ready for publication.

Optional Faculty-Led Lectures or Activities

Please email AUIP the topic of any lecture/activity you would like to deliver during the program (this is optional).




Please email AUIP ( a copy of your syllabus (containing course prefix and number, course title, number of credits, and faculty/instructor name and contact details).



Group Flights

When notified by AUIP, please inform your students that the optional group flight can be booked online with Student Universe. Please email your students the following procedure:
  1. Group flights are listed at
  2. Ensure that the flight itinerary matches the program itinerary/dates.
  3. Students travelling to Australia will need an Electronic Travel Authority (ETA). Each ETA costs $20. StudentUniverse will help you complete an ETA if you call 800.351.3279. Please Note: if you are a non-US citizen you may not be eligible for an ETA, please check the ETA link.
  4. Ground transportation is not arranged by Student Universe. AUIP arranges ground transportation ONLY for students who books flights through Student Universe.
  5. Flights are subjects to availability.
  6. Deposits must be paid by the date listed on the website to secure a seat
  7. Final payment must be paid by the date listed on the website or the seat will be forfeited.

Remember, it is not mandatory for students to book through Student Universe; these flights are arranged for your convenience. However, it would be helpful if you can keep a log of how many students have booked elsewhere so that we can track flights booked - and drop reserved seats if need be!

Program Handbook

All participants (students, faculty and staff) must familiarize themselves with the Program Handbook before departing the U.S. Please ask your students to download the handbook from

All program participants (students, faculty, staff and spouses) must complete, sign and return to you:
  • Form 1 (Waiver of Liability, Covenant not to Sue, and Indemnity)
  • Form 2 (Fiji Village Homestay Waiver and Assumption of Risk) (Fiji participants only)

Note: Students cannot be officially accepted on the program unless they have signed Form 1 (all students) and Form 2 (Fiji participants).

Student and Faculty Information File

This file must contain the final list of students, faculty, and spouses participating in the program and no further changes will be permitted without contacting AUIP (since these names and numbers will be used for bookings).

Note: Bookings cannot be finalized until we receive this information. Any special requirements sent after this date may not be accommodated.

Pre-Departure Orientation

All faculty and students enrolled on a program must view the Pre-Departure Orientation(s) for their program. prior to departure. Please ask students to watch the online orientation(, complete the quiz, and then email the completed quiz back to you.

Complete the Faculty Orientation and Case Scenarios of Health and Safety Incidents for Faculty and Staff on Study Abroad Programs presentation. This is required of all faculty and instructors participating in an AUIP program.

Four Weeks Before Departure

Emergency Information Kit (KIT)

Complete the Emergency Information Kit (EIK) contained in Faculty Handbook and mail (as one packet) to AUIP. (Faculty should also bring a copy of the EIK with them on the program.) The EIK is comprised of:
  • Completed Form C (Emergency Action Plan).
  • Original versions (signed and completed) of Form 1 (all students faculty/staff) and Form 2 (Fiji students and faculty/staff).
  • Original version (signed and completed) of Form A (Faculty Expectations and Responsibilities Form).
  • If applicable, original version (signed and completed) of Form B (Accompanying Spousal Agreement for Participation Form).
  • Fully completed Student and Faculty Information file (in hard copy and email as Microsoft Excel file).

Note: The EIK MUST be received by the AUIP office 28 days prior to the start of your program.

U.S. Department of State Travel Registration

Inform your students that they are required to register with the U.S. Department of State. Registration allows you to record information about your upcoming trip abroad so that the Department of State can use assist you in case of an emergency.

Consular Information Sheets

All students are required to review the U.S. Department of State Consular Information Sheets for the country or countries they are due to visit. Consular information sheets contain entry/exit requirements, health and safety information, important political announcements, threat of terrorism, and any travel warnings that you should be aware of. Course Reading Packets

When notified by AUIP, please order your Course Reading Packet(s) from Beljean in Athens, Georgia. Ensure that Beljean know that you are a faculty member and they will provide your packet gratis. Faculty should receive:
  1. Course Reading Packet(s)
  2. Program Handbook (in miniature format)
  3. Faculty Handbook (in miniature format

Please email your students the following set of instructions for ordering their Course Reading Packet(s):
  1. Visit
  2. Indicate the course reading packet(s) you require (e.g., AUIP New Zealand and AUIP Fiji) in the Additional Message section.
  3. The Additional Message section should also include any special shipping requirements (for instance, if you need the packet to get to you within 3-4 days).
  4. After you have placed your order, you will receive an electronic invoice via Pay Pal.
  5. Once your payment is confirmed, your packet will go out via regular United States Postal Service unless you request otherwise.
  6. You should receive: (a) AUIP Course Reading Packet(s) and (b) AUIP Program Handbook (in miniature format)
Please note that the course packets do NOT include the program syllabus. Please email a copy of your syllabus to your students and ask that they print a copy BEFORE leaving the U.S.

Pre-Departure Culture and Geography Quiz

Notify your students that they must complete the Pre-Departure Culture and Geography Quiz prior to departing the U.S. (found in the Course Reading Packet). The quiz is due on day 1 of the program.

Note: Students travelling to Fiji must watch the three one-hour pre-departure lectures (see above) to complete the Fiji Pre-Departure Culture and Geography Quiz.
